1. Who We Are

BeEES Business Partner ("BeEES", "we", "us", "our") is a boutique learning and development (L&D) business partner operating from global hubs in the United Arab Emirates and serving clients across the UAE and Africa. This Privacy Policy explains how we collect, use, disclose, and protect personal data when you visit www.beees.ae, engage BeEES for corporate training, coaching, or L&D outsourcing services, or use the BeEES Digital Hive (our online learning and client portal, "Digital Hive").

2. Personal Data We Collect

2.1 Information you give us directly

• Contact details: name, email address, phone number, job title, company name, submitted via website forms, email, WhatsApp, or during consultations.
• Account and profile data on the Digital Hive: username, password (stored encrypted), profile photo, role, employer, learning history.
• Billing and payment details: invoicing address, VAT/TRN details, and payment confirmation data (card numbers are processed by our payment provider and are not stored on our servers).
• Content you submit: assessment responses, feedback forms, session recordings you agree to, testimonials, and correspondence.

2.2 Information collected automatically

• Device and usage data: IP address, browser type, pages visited, time on site, referral source, collected via cookies and similar technologies.
• Learning analytics on the Digital Hive: course progress, quiz scores, completion certificates, login activity, and engagement metrics.

2.3 Information from third parties

• Corporate clients may provide employee contact and role data for the purpose of arranging training, coaching, or LMS access (BeEES acts as a data processor for that employer data unless otherwise agreed).
• Publicly available professional information (e.g. LinkedIn) used for legitimate business development, where appropriate.

3. How We Use Personal Data

• Deliver, administer, and personalize corporate training, coaching, team-building, and L&D outsourcing services.
• Create and manage Digital Hive accounts, track course progress, and issue completion certificates.
• Process payments, issue invoices, and manage our contractual relationship with clients.
• Respond to enquiries and provide customer support.
• Send service updates, newsletters, or marketing communications where you have consented (with an opt-out in every message).
• Improve our website, programs, and Digital Hive based on aggregated usage patterns.
• Comply with legal, tax, and regulatory obligations in the UAE.
• Protect the security and integrity of our systems and prevent fraud or misuse.

4. Legal Basis for Processing

Where applicable law requires a stated basis, we rely on: (a) performance of a contract with you or your employer; (b) your consent, for marketing communications and non-essential cookies; (c) our legitimate business interests, such as improving our services and securing our systems; and (d) compliance with a legal obligation.

5. Cookies and Similar Technologies

www.beees.ae and the Digital Hive use cookies and similar technologies to operate the site, remember preferences, keep you logged in, and understand how visitors use our content. You can control cookies through your browser settings; disabling essential cookies may affect Digital Hive functionality such as staying logged in.

• Essential cookies: required for login, security, and core site functionality.
• Analytics cookies: help us understand site and course usage (e.g. Google Analytics or similar).
• Marketing cookies: used only where you have opted in, to tailor communications about BeEES programs.

6. Sharing and Disclosure

We do not sell personal data. We may share personal data with:

• Service providers who support our operations, such as payment processors, email/newsletter platforms, cloud hosting providers, and Learning Management System (LMS) vendors that power the Digital Hive, bound by confidentiality and data protection obligations.
• Your employer or engaging organization, where training, coaching, or Digital Hive access is arranged through a corporate client, to the extent necessary to report on program participation and outcomes.
• Professional advisors (legal, accounting) where necessary for our legitimate business purposes.
• Authorities, where required by UAE law, regulation, or a valid legal process.
• A successor entity, in the event of a merger, acquisition, or sale of BeEES assets, subject to equivalent protections.

7. International Data Transfers

As BeEES serves clients across the UAE and Africa and may use international service providers (hosting, LMS, email platforms), personal data may be transferred outside the UAE. Where this occurs, we take reasonable steps to ensure recipients provide an adequate level of protection consistent with the UAE Personal Data Protection Law (Federal Decree-Law No. 45 of 2021), including contractual safeguards with our providers.

8. Data Retention

We retain personal data only for as long as necessary to fulfil the purposes described in this Policy, including satisfying any legal, accounting, or reporting requirements. Digital Hive learning records and certificates are generally retained for up to three (3) years after course completion to support verification of completed training. You may request earlier deletion, subject to Section 9.

9. Your Rights

Subject to applicable law, you may have the right to:

• Access the personal data we hold about you.
• Request correction of inaccurate or incomplete data.
• Request deletion of your personal data, where it is no longer needed or you withdraw consent.
• Object to or restrict certain processing, including direct marketing.
• Withdraw consent at any time where processing is based on consent, without affecting prior lawful processing.
• Request a copy of your data in a portable format, where technically feasible.

10. Data Security

We apply reasonable administrative, technical, and physical safeguards to protect personal data against unauthorized access, alteration, disclosure, or destruction, including access controls, encrypted password storage on the Digital Hive, and restricted staff access. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

11. Children's Privacy

BeEES services are directed at working professionals and organizations. We do not knowingly collect personal data from children under 18. If we become aware that we have inadvertently collected such data, we will take steps to delete it.

12. The BeEES Digital Hive Specifically

• Course progress, assessment results, and certificates are visible to you and, where access was arranged by your employer, to that employer's designated administrator.
• Discussion posts, comments, or content you submit within the Digital Hive may be visible to other enrolled participants in the same program.
• We recommend using a strong, unique password and not sharing your Digital Hive login credentials.

13. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. The "Effective Date" at the top will indicate the latest revision. Material changes will be communicated via the website or, where appropriate, by email to registered Digital Hive users.
